Who we are

Optima Consulting ("we", "us", "our") provides digital marketing, AI consulting, and software development services. This policy explains how we handle the information you share with us through this website.

Information we collect

We only collect the information you choose to give us, namely:

  • Consultation enquiries: your name, email, and any company, phone number, scheduling preferences, and message you provide.
  • Job applications: your name, email, links you share, and the CV file you upload.

How we use it

We use your information solely to respond to your enquiry, arrange and deliver a consultation, or assess your job application. We do not sell your information, and we do not use it for advertising.

Legal basis

Under UK and EU data protection law (the UK GDPR and GDPR), we rely on your consent when you submit an enquiry or application, and on our legitimate interest in responding to you and running our business. You can withdraw consent at any time by contacting us.

How it is handled

Enquiries and applications are delivered to us by email so we can follow up with you. If analytics are enabled on this site, we use a privacy-friendly, cookie-free analytics tool that does not track or identify individual visitors.

How we keep it secure

We take the security of your information seriously and apply reasonable technical and organisational measures to protect it, including:

  • Data is sent over encrypted TLS connections and is encrypted at rest by the platforms and databases we build on.
  • Access is granted on a need-to-know basis and reviewed periodically. Credentials and secrets are kept in managed vaults rather than in code or shared in plain text.
  • We build on reputable cloud providers with hardened defaults, automated backups, and monitoring, and we work to keep the systems we manage patched and up to date.
  • We collect only the data a project needs and apply privacy-by-design principles throughout.

No method of transmission or storage is completely secure, so while we work hard to protect your information we cannot guarantee absolute security.

Service providers we work with

We use a small number of trusted third-party tools to operate our business, such as email and hosting providers. We vet the tools we rely on, put data processing agreements in place where appropriate, and keep a clear record of who can access what. We do not share your information with anyone else except where required by law.

How long we keep it

We keep your information only for as long as we need it to respond to your enquiry, deliver a consultation, or assess your application, and to meet any legal or accounting obligations. After that we delete it or securely retain it in line with this policy. You can ask us to delete it sooner at any time.

Your rights

Under the UK GDPR and GDPR, you have the right to:

  • Access the information we hold about you.
  • Ask us to correct information that is inaccurate or incomplete.
  • Ask us to delete your information.
  • Object to or restrict how we use your information, and withdraw consent.
  • Ask for a copy of your information in a portable format.

Contact us and we will action your request. You also have the right to complain to the UK Information Commissioner's Office (ICO) if you have concerns about how we handle your data.
